Updating Applicant Records

Active will provide written advice to all applicants on the status of their application in writing at least twice annually. If an applicant cannot be contacted to confirm their status on the waiting list Active will take all reasonable steps to contact applicant prior to removal from the register.

Updating the Applicant Register

  • Active staff will send out a mail out at least two times annually.
  • The applicants on the register will receive an application update form which they are required to fill out and return to Active.
  • Active staff will provide a stamp self addressed envelope with this application update to enable ease of returning the update form for applicants.
  • Upon receipt of the  updated form Active will attach the returned update form to the hard copy application and ensure changes to applicant details are updated on the electronic waitlist

If the applicant does not return the update form

  • If the applicant does not return their form within the timeframe advised in the mail-out, Active will endeavour to contact the applicant through their contact details.
  • If contact is unsuccessful, the applicant will be made inactive on the register.
  • If Active receive “return to sender” mail from the applicant, Active will endeavour to contact the applicant through their contact details.
  • If contact is unsuccessful, the applicant will be made inactive on the register.

If a person made inactive on the register within the past three months contacts Active, Active staff can reinstate the applicant subject to the completion of a new/updated application form.
